How to organise a window cleaning round
A good round should make the working day simpler: the right customers grouped together, recurring work easy to see, and completed cleans and payments easy to record.
1. Start with one reliable customer list
Keep each customer's address, contact details, normal price, service frequency and useful access notes together. Whether you begin with paper, a spreadsheet or software, one current list is easier to maintain than information spread across several places.
2. Group customers into practical rounds
Build rounds around how you actually work. Geography matters, but so do the days you normally visit an area, the amount of work you can complete, access restrictions and the people carrying out the work. Give each round a clear name so it is immediately recognisable.
3. Record the service frequency
A recurring customer should not rely on memory. Record whether the clean repeats weekly, fortnightly, every four weeks, monthly or on another schedule. Keep one-off work separate so it does not accidentally become part of the normal recurring round.
4. Turn the round into today's worksheet
The master round tells you how customers are organised; the working worksheet tells you what needs doing now. It should be easy to see the customer, address, expected work, price and any useful notes, then record what actually happened.
5. Update the record while the work is fresh
Mark completed work, skipped jobs, notes and payments as close to the job as practical. That reduces the amount you have to reconstruct later and makes the current state of the round clearer if more than one person is working.
6. Keep payment tracking connected to the work
Knowing that a clean was completed is only half the picture. Keep a record of what was charged, what has been paid and what remains outstanding. This makes it much easier to see debts without comparing several notebooks, bank entries or message threads.

When a spreadsheet starts becoming difficult
A spreadsheet can be perfectly adequate for a smaller round. The reason to consider dedicated software is not simply because software exists. It becomes useful when keeping recurring work, worksheets, changes, payments, debts and team activity synchronised is creating unnecessary admin.
